CASE STUDY: REPORTING
1,030 HOURS SAVED MONTHLY
ROI IN 3 MONTHS
£11,300 MONTHLY SAVINGS
With the construction industry in a vulnerable state, our client wanted to ensure its current projects
were being completed to time and budget. Feedback from their staff showed they were unhappy
with the amount of paperwork that was needed each day and wanted to spend more time
overseeing the projects and working with the team on the ground.
Our client’s facility managers were responsible for a large volume of project emails – over 500 per day,
on average it took around twelve minutes for each facility manager to read each email, extract
relevant data and update project schedules/task lists. This data entry was a massive use of time
that the facility managers could otherwise be spending on high-value activities and was preventing
progress rather than aiding it, as backlog quickly became an issue. Three departments were reliant on
using two different applications in order to fulfil project reports.
Proservartner were able to implement an unattended RPA (Robotic Process Automation) bot which
logged into the different systems as though it were a user. The bot extracted data from various SAP
tables, personalised the information for every facility manager and sent personalised lists via email,
which included current and future tasks, as well as open items to employees.
Not only did this cut out a significant amount of reporting and follow up but helped focus.
The organisation was able to save a massive 1030 hours each month, with a monthly saving of over
£11,300. After seeing the impact that RPA could have and how bots were customised to their exact
needs, the company has decided to expand their automation efforts moving forward.
